A new scheme can be registered either online at www.hmrc.gov.uk , by telephone ( 0845 60 70 143) or in writing.

Once your scheme is registered you will receive notification of your new scheme in writing and it will be given two reference numbers.

PAYE scheme reference: This is the PAYE office reference and is used for day to day administration and enquiries regarding tax codes etc

Accounts office reference: This is the reference to be used when making payments or making any enquiries regarding your PAYE account with HMRC.

Registering for Payroll and PAYE

This can be done either by you or your PAYE agent. At HRBS we setup and administer many PAYE schemes for our clients, using our address for all PAYE correspondence with HMRC.

The most efficient method is to register online at the HMRC website. You will receive an email confirmation and later the written confirmation that your scheme is live. You will then need to operate PAYE on all relevant employees using tax codes issued to you by HMRC or shown on your employee’s P45.

Information you will need to register your PAYE scheme

General Information

  • Business Name
  • Trading Address
  • Name and address of employer
  • National Insurance number and Unique Taxpayer Reference of employer (if sole trader)
  • Contact telephone number
  • Contact email address (if registering using email)
  • Nature of business eg retail, manufacturing

Your employees

  • The date you took on (or will be taking on) your first employee(s)
  • How many employees you will have (includes directors if limited company)
  • The date you intend to pay them for the first time eg 31 October
  • How often you intend to pay them eg weekly, monthly

Your payroll contact details

  • The address from which your payroll is run ie your office address or your accountant’s address
  • The name, address and telephone number of anybody who looks after your payroll eg your accountant, book-keeper

Specific information required for partnerships

  • Names and addresses of any business partners
  • National Insurance number and Unique Taxpayer Reference of any business partners
  • If you are a Limited Liability Partnership (LLP) you must provide your LLP number

Specific information required for limited companies

  • The Company’s Registered Office
  • The Company’s Registration Number and the date of incorporation (from your incorporation certificate)
  • Details of the company directors
    • Full names
    • Addresses
    • Private telephone numbers
    • National Insurance number and Unique Taxpayer Reference of each company director.
